The simple idea
Choose one ordinary task and walk through it with the person who does it. You’ll learn more than you will from a long feature list.
The demonstration looked easy. Now what?
You’ve seen the new tool. The calendar looks tidy. The messages are all together. Everyone agrees it could help.
Then Monday comes, and your team has questions. Where does a new request go? Who changes the appointment? What if the customer calls instead of filling out the form?
Those are good questions. A small trial gives you a chance to answer them before asking everybody to work differently.
Choose something small enough to finish
Try one task, such as receiving a new enquiry and arranging a callback. Pick a person who regularly does that work and ask them to walk through the steps.
Begin with made-up customer details. Check where the request appears, how the person finds it, and how they mark the next step. Don’t send trial messages to real customers by mistake.
Write down anything that makes them stop and ask for help. That’s useful feedback, not a sign they’re doing it wrong.
Try the ordinary messy version, too
The customer gives the wrong number. The time changes. Two people open the same request. Someone goes home before the callback is finished.
Choose a couple of situations your team actually faces. Can the person see what happened and work out what to do next?
If a step is unclear, fix the wording or the process before adding more features. Another button rarely helps someone who doesn’t know which button to use.
Decide together whether it’s ready
Ask the person who tried it: Was the task easier? Did we lose any useful information? What would you need to use this tomorrow?
Keep a clear way to handle the work if the new setup isn’t ready yet. Once the task works well, you can decide what to add next.
Praxen Business can help you plan that first task and work through the setup with your team. You don’t need to learn everything at once to make a worthwhile improvement.
