The simple idea
Before bringing in more requests, make sure you can see and handle the ones you already have.
The trouble usually starts small
You’re having a good week. The phone is ringing. Jobs are coming in. Then you realize you forgot to call someone back yesterday, and another customer has asked twice about their appointment.
That doesn’t mean you’re bad at running a business. It may mean the way you kept track of things when you were quieter isn’t enough anymore.
Think about your last busy stretch. What was the first thing to fall behind? Replies? Quotes? Getting dates into the calendar? Pick one. “Everything” is a hard problem to fix.
Get the waiting work out of your head
Try a short list with three headings: needs a reply, waiting for the customer, and ready to book. Put each open request in the right place and give it a person responsible for the next step.
You don’t have to buy anything to learn whether this helps. A small team can try it with a shared list first. The point is to stop relying on whoever happens to remember a conversation.
Don’t promise a fast answer you can’t give
If quotes are taking longer this week, say so. “We’re reviewing new requests within two working days” is more helpful than silence, as long as that timing is realistic.
Imagine a painting company getting a rush of enquiries after sharing a project photo. A short receipt message could let people know their request arrived. A person still needs to look at the job and decide what to offer. The reply buys clarity, not permission to forget the customer.
Fix the part you keep repeating
After the rush, look at what you typed or checked over and over. That may be a good place for a saved reply, a reminder, or a better request form.
Praxen Business can help you work through that one problem. You don’t need to replace your whole setup just because one part of the week feels messy.
Start by bringing three real examples of work that got delayed. Leave out private customer details. The examples will make the conversation much more useful than a long wish list of features.
