The simple idea

Customers need to know when they’ll hear from you. They don’t always need an answer right this second.

One quick reply turns into another

You sit down after a long day. A customer asks about tomorrow. Someone else wants a price. Then a new person messages you on Facebook. Before you know it, you’re working again.

It’s understandable. You care about the business, and you don’t want people to think you’re ignoring them. But being easy to reach shouldn’t mean you never get to switch off.

The first thing to fix is the uncertainty. If people don’t know whether you received their message, they may call, text, and send the same question somewhere else.

Give people an honest answer about timing

A short reply can do the job: “Thanks for getting in touch. We’ve finished for today, but we’ll check your message tomorrow morning.” Only say that if someone really will check it then.

You can also point people to information they can use right away, such as your opening hours or a booking page. Keep it short. Nobody needs your whole service list in a reply to one question.

If your business handles urgent requests, explain the correct way to reach someone. Don’t send people toward a phone that nobody is watching.

Make tomorrow morning easier, too

An overnight reply is only useful if the request is still there in the morning. Keep new messages in a place you or your team can check, with a clear sign of which ones still need an answer.

For example, a small cleaning business could start the day with three new requests in one list instead of searching through two phones. That’s an example of a setup to work toward, not a promise that every app will connect.

Start with one evening

Write down your real reply hours. Then look at the places customers contact you. Do those places tell the same story?
