The simple idea

Track numbers that help you decide what to do next. Leave the impressive-looking charts for another day.

Start with a question you care about

You open a report and see colored charts, percentages, and words you don’t use. You close it without knowing whether anything needs your attention.

A better starting point is a plain question: Are we answering new requests? Are quotes turning into booked work? Is someone still waiting on us?

Pick one question first. It’s easier to build a useful weekly check around that than around every number your software can show.

Try three simple counts

You could begin with new enquiries, jobs booked, and requests that still need a reply. These tell you about different parts of the work.

Be clear about what each number means. Does “booked” mean the customer agreed, or just that you offered a date? Does one person sending three messages count as three enquiries? Agree on the meaning before comparing weeks.

For an example, imagine eight new enquiries and three bookings this week. That doesn’t automatically mean five people said no. Some may still be deciding, and some bookings may have come from earlier enquiries.

Keep a way to see the names behind the count

A number saying “four waiting” helps only if you can find those four requests. A useful report should lead you to the work that needs attention.

Choose the next action: call someone, correct a missing detail, or ask the team what happened. Don’t change your whole approach because of one quiet week.

If records are incomplete, say so. A neat chart made from missing information can give you the wrong impression.

Make it a short conversation

Set aside a few minutes each week to ask what moved, what got stuck, and what needs a person. Add more detail only when it helps answer a real question.
